The Operating Challenge 

The facility depended on a small internal maintenance team while routing HVAC, electrical, plumbing, carpentry, and other specialized needs through multiple outside providers. Day-to-day work was largely driven by service requests and equipment failures. Preventative maintenance existed, but scheduling, execution standards, and quality oversight were not consistently connected across systems and vendors. 

The result was more than a maintenance backlog. Each handoff created another approval, contractor relationship, invoice, status check, and opportunity for information to be lost. Leadership had limited visibility into total demand, technician utilization, recurring asset conditions, and whether corrective work was reducing future risk or simply closing the current request.

A fragmented service model can keep individual repairs moving while leaving the organization without a reliable view of asset condition, recurring demand, total service effort, or the next priority. 

The TDG Response 

TDG organized the work through an Integrated Facilities Management (IFM) model. The objective was to connect people, processes, service information, and technical resources within one accountable program—while preserving access to specialty expertise when the scope required it. 

1.  Centralized request and approval control 

Service requests entered a common work-order process with defined categories, priorities, financial approval thresholds, status ownership, and documented closeout. This created a shared operating record instead of separate email, phone, contractor, and invoice trails. 

2.  Flexible labor deployment 

Routine facility needs could be assigned to mobile maintenance resources, while HVAC, electrical, plumbing, and other technical work could be routed to the appropriate skilled resource. Highly specialized or regulated scopes remained coordinated through qualified specialty providers. 

3.  Preventative maintenance structure 

Recurring service schedules for applicable HVAC, fire/life-safety, mechanical, and facility assets were brought into the program. Findings could be documented, converted into corrective work, and reviewed alongside service history rather than remaining isolated inspection observations. 

4.  Account and vendor governance 

A defined point of accountability coordinated communication, proposals, vendors, service follow-through, and repair-versus-replacement discussions. Standard scopes and expectations provided a more consistent basis for evaluating delivery. 

5.  Trend and asset review 

Work-order history and recurring failure patterns created a better foundation for identifying repeat conditions, planning maintenance, and discussing future capital needs with context.

Operational Value 

Clearer ownership: One facilities partner connected intake, field execution, skilled trades, vendors, approvals, and client communication. 

More deliberate maintenance: Preventative work and corrective follow-up could be managed as parts of the same operating program, helping the client move beyond a failure-driven rhythm. 

Better decision visibility: Service history made recurring issues and asset patterns easier to evaluate when considering continued repair, targeted improvement, or replacement.
